Data Quality, Approvals & Business Rules

Review data issues and sensitive actions, route business events, and calculate derived values.

Open interactive lesson and quiz

What you will learn

  • Fix or safely ignore a data-quality issue
  • Review an activation in the BU approval inbox
  • Connect a named event to a route and business rule
  • Create a read-only derived field and use it in a report

An order exceeds a threshold for a VIP customer. A rule creates a follow-up task while a manager reviews a proposed campaign activation.

Lesson 1

Resolve quality issues deliberately

Data Trust scans a bounded set of recent records for duplicate emails, invalid emails and phones, missing required values, stale records and broken supported lookups. Rescan runs the checks again and displays its completion time or error. Create a BU check by choosing an object and one of its fields, then set a required, comparison, numeric or age condition. A new or edited check is paused until you enable it. The scan checks up to 1,000 recent records per object, so it is a review tool rather than a full historical export. Fix uses the CRM validation and object permissions; unsupported fields must be corrected in their source record. Bulk Fix clears up to 25 selected broken standard links; check the per-record result. Merge requires the same email and refuses a Contact with related records. Ignoring a finding records who made the decision and does not change the underlying data.

Lesson 2

Approve sensitive actions in your BU

A reviewed Send Flow activation creates a pending request rather than starting immediately. Settings managers with Flow activation permission can open Approval Inbox, review the estimated recipient count and flow, then Approve & execute or Reject. SupaChrome rechecks the requester, current permissions, flow revision and audience before executing the existing activation service. A changed flow requires a new request. Connected MCP clients also appear in the same inbox; their activation remains subject to a live connection and the MCP scope policy. The inbox is restricted to the current BU and keeps the decision trail.

Lesson 3

Route events and write rules

Event Hub stores named events such as contact.updated, order.created, email.clicked, coupon.claimed, deal.stage_changed, page.submitted and website.browse in the current BU. An event route forwards a matching event to an active API-entry Send Flow, outbound webhook or internal alert. Add an optional field condition from that event’s payload, inspect delivery status, repair the destination and retry a failed event. Business Rules evaluate the same event once, combine up to eight conditions with All or Any, and perform up to five actions: assign a related owner, create a task or notify a user. Use the event test to see conditions and planned actions without changing records. Save creates a paused draft; enabling checks that users remain active. Thresholds for orderValue use ordinary currency units. Rule actions have recorded execution results. An automation in the CRM instead responds to a CRM record trigger, using a field picklist tied to its trigger object; use it for record follow-up. Use Event Hub when a named event may be routed to multiple destinations and rules.

Lesson 4

Use calculated values without rewriting source data

Formula fields support Contacts, Companies, Deals, Tasks, Products, Cases, Campaigns, Communications, Orders and active custom objects. Built-ins calculate Lifetime Value, Average Order Value, Days Since Last Purchase and Deal Age where applicable. Arithmetic and custom numeric expressions can combine numeric standard or custom fields using +, -, *, /, parentheses, min, max, round and abs. Division by zero returns no value. Preview uses up to 50 current BU records; saved derived fields appear in Data Finder and reports where the object is available. Results are read-only and recomputed when queried. Object view and Objects setup permissions still apply.

Lesson 5

Get approval, task and completion emails

Approval Inbox holds pending sensitive actions. A BU reviewer can inspect the requester, affected item and details, then approve or reject. Approval rechecks permissions and the action at execution time. In its Email notices panel, a Settings manager can enable or disable approval requested, decision, task created, automation completed and Send Flow completed notices, and add BU recipients. The approval requester or reviewer and assigned task owner receive relevant notices when a deliverable email is available; delivery status and errors appear in the recent delivery list. Automations may also specify a completion address. Notification failures are logged without reversing the CRM action. Use the sample Test action in Automation builder to inspect the selected trigger, sample field values and condition result; it makes no record changes or sends.

Practice · Build a controlled operations rule

  1. Open Data Trust → Smart Data Quality Center and review one Contact issue. Fix a value, merge only an unlinked duplicate, or ignore with a recorded reason.
  2. Open Event Hub and inspect order.created; add a route to an active API-entry Send Flow, active outbound webhook, or internal user alert. Enable it.
  3. Open Business Rules and save an order.created rule: orderValue greater than your threshold, then create a task for a BU user. Enable it.
  4. Create a test Order and inspect the event, task and route status. Retry a failed event after repairing its destination.
  5. In Formula fields create Lifetime Value for Contacts and preview. Select that derived field in Data Finder or a custom report.
  6. Request a Send Flow activation and review its request in Approval Inbox. Reject or approve after confirming the audience and messages.
